AI automation

AI automation: what you do by hand, done automatically

Emails, invoices, quotes, reports and alerts that eat your hours today. I automate them with the tools you already use, and with AI where it helps, so your team spends its time on what matters.

  • I start with the task that takes the most time
  • With your current tools
  • Human review where needed
  • Fixed price and estimated hours saved

What business process automation is

Automating a process means a repetitive task gets done by itself, following set rules, without anyone having to remember it or copy data by hand.

Before

An accepted quote arrives by email, someone creates the invoice, sends it, logs the payment in a spreadsheet and tells the team to schedule the job.

After

When the quote is accepted, the invoice is created, the email goes out, the pending payment is logged and the team gets an alert. A person only checks it.

AI takes it a step further: reading an email and sorting it, extracting the data from a PDF invoice, summarising a meeting or preparing a draft reply. It is AI for business applied to concrete tasks.

Task automation: what a small business can automate

The processes that save the most hours are usually the most boring ones.

Emails and alerts

Confirmations, appointment or payment reminders, and alerts to the team when an enquiry or order comes in.

Invoice and quote automation

Documents produced in your format from a form or a spreadsheet, and sent to the client.

Reports

Data from several sources gathered into a report or dashboard that arrives by itself every week.

Chatbots for business

An assistant on your website or WhatsApp that answers common questions with your information and hands over to a person when it does not know.

AI agents

Multi-step tasks with some judgement: read an email, look up the data, prepare the reply and leave it for approval.

Data between systems

What comes in through your website reaches your client list, calendar or management software without anyone copying it.

Automation tools I work with

The ones you already use, wherever possible.

What I will not do is lock you into an expensive platform you cannot manage afterwards. Each automation comes documented, with how it works and who maintains it.

  • Google Workspace (Gmail, Calendar, Drive and Sheets) and Google Apps Script.
  • Databases such as Supabase.
  • AI models from established providers.
  • Your management or accounting software, if it has an API. If not, I suggest the simplest alternative.

AI automation in four steps

From the task that takes the most time to an automation tested on real cases.

  1. We pick the task

The one that takes the most time or causes the most mistakes.

  2. We map it

Step by step, with who is involved and what data it uses.

  3. I automate it

With your tools, and with human review where needed.

  4. We test it

On real cases for a few weeks, and adjust.

When you need a custom app instead

If the problem is not a single task but having nowhere to keep your information in order (clients, orders, jobs), what you need is a custom business app, and then automation on top of it.

What is AI automation?

Getting a repetitive task to happen by itself, following set rules, and using AI for the parts that need some judgement: reading an email and deciding what it is about, pulling data out of a PDF invoice or drafting a reply. Simple rules handle the rest.

Which tasks can be automated?

The ones repeated with the same rules: moving data from one place to another, sending the same kind of email, producing documents in a fixed format, alerting someone when something happens or preparing a report. If someone does it on autopilot, it can probably be automated.

What if the automation gets it wrong?

For sensitive tasks, the automation prepares and a person reviews and approves. I also set up alerts so that if something fails, you find out straight away rather than at the end of the month.

Do I need to change my software or know how to code?

Usually neither. I connect what you already use: your email, calendar, spreadsheets, website or accounting software, if it allows connections. The technical side is mine, and you get a written explanation of how each automation works.

How much does it cost to automate a process?

It depends on the process. You get a fixed price in writing and an estimate of the hours it saves each month, so you can see how quickly it pays for itself.

Which task would you like never to do again?

Tell me about it and I will explain how to automate it, what it costs and how many hours it saves.
